The role

The Admin Team Manager is responsible for leading and developing the administration function, ensuring the smooth, efficient and professional delivery of office and business support services across the organisation. The role is accountable for managing the administration team, overseeing office operations, facilities coordination, admin support activities and administrative processes, whilst driving continuous improvement and maintaining excellent service standards. They will also provide PA support to designated members of the Senior Leadership Team. 
 
The successful candidate will create a highly effective, customer-focused administration team that supports colleagues, visitors, stakeholders and the wider business. 

Responsibilities

Leadership & Team Management 
  • Lead, manage and develop the administration team across multiple locations.
  • Set clear objectives, monitor performance and provide regular coaching and feedback.
  • Build a collaborative, high-performing team culture aligned to company values.
  • Support recruitment, onboarding and development of administration team members.
  • Manage resource planning and workload allocation to ensure effective coverage.
Office & Facilities Management 
  • Oversee the day-to-day running of all office locations.
  • Ensure workplaces are well maintained, safe, compliant and welcoming.
  • Manage relationships with landlords, building management, contractors and service providers.
  • Coordinate office moves, refurbishments and workplace improvement initiatives where required.
  • Monitor and manage office expenditure against agreed budgets.
Administrative Operations 
  • Ensure consistent delivery of administrative support across the business.
  • Maintain and improve administrative processes, procedures and standards.
  • Oversee visitor management, reception arrangements and meeting room coordination.
  • Ensure effective management of office supplies, equipment and inventory.
  • Lead the administration team's contribution to company events, meetings and internal activities.
Employee Lifecycle Support 
  • Oversee administrative support for onboarding and offboarding processes.
  • Ensure new starters have appropriate equipment, access and workplace arrangements.
  • Coordinate administration activities associated with employee changes and departures.
  • Work closely with HR, IT and other departments to deliver a seamless employee experience.
Governance & Compliance 
  • Ensure compliance with health and safety requirements and workplace policies.
  • Maintain accurate records, documentation and operating procedures.
  • Monitor third-party contracts and service level agreements.
Continuous Improvement 
  • Identify opportunities to improve efficiency, service quality and employee experience.
  • Drive greater use of technology, automation and self-service solutions.
  • Develop and maintain standard operating procedures and service standards.
  • Produce management information and reports as required.
SLT & Team Support 
  • Diary management.
  • Coordinating internal and external meetings.
  • Arranging travel arrangements and processing related expense reports.
  • Admin support for designated team members.
 

Skills and Experience

  • Experience in office management, administration or business support. 
  • Experience leading and developing administrative or support teams. 
  • Excellent organisational and prioritisation skills. 
  • Strong stakeholder management and customer service capabilities. 
  • Ability to manage multiple priorities in a fast-paced environment. 
  • Excellent written and verbal communication skills. 
  • Strong Microsoft Office and systems proficiency. 
  • Experience managing budgets, suppliers and external contracts.
