Assistant Facilities Manager
The role
Working closely with Regional Facilities Manager, Asset Management, Customer Engagement Manager, suppliers and customers, this role bridges operational administration and onsite FM support, ensuring properties remain safe, compliant and well maintained. You will help deliver service excellence, support contractor management, assist in budget reporting and contribute to maintaining a high-quality customer experience.
Responsibilities
Facilities Management Operations
- Assist the Regional Facilities Manager in the day‑to‑day management of multiple sites within central belt
- Conduct regular site inspections, identifying maintenance needs, hazards, and opportunities for improvement.
- Oversee reactive and planned maintenance activities, ensuring tasks are completed to a high standard and within agreed time frames.
- Support the management of service providers and contractors, ensuring compliance with SLAs and KPIs.
- Ensure sites are compliant with statutory requirements, including fire safety, health & safety, water hygiene, and electrical testing.
- Respond to and coordinate actions for emergencies, incidents, or urgent matters as needed.
Compliance, Health & Safety
- Assist in ensuring all properties meet statutory compliance requirements (H&S, gas, electrical, asbestos, water hygiene, etc).
- Keep H&S systems accurate and certification up to date.
- Support the preparation and distribution of H&S communications and bulletins.
- Participate in site inspections, risk assessments, permit-to-work reviews and contractor checks.
- Assist with accident/incident reporting and audit follow‑up.
Contractor & Supplier Management
- Monitor contractor performance across hard and soft services including KPIs, action plans and contract adherence.
- Gather compliance, environmental and performance reporting from suppliers.
- Liaise with suppliers to ensure timely work delivery, compliance and access.
Financial & Budget Support
- Assist in preparing service charge budgets and monitoring expenditure.
- Raise purchase orders, process invoices and maintain accurate billing data.
- Support collection and analysis of cost data for CAPEX or service charge projects.
Reporting & Systems Management
- Produce regular reports on portfolio performance, risks and improvement recommendations.
- Maintain accurate electronic filing, helpdesk data and CAFM/Indurent Hive entries.
- Run budget variance and service charge reports.
Customer Experience
- Build positive relationships with occupiers and act as a first point of contact when needed.
- Support customer satisfaction surveys and follow‑up actions.
- Help ensure a smooth and responsive customer experience aligned with Indurent’s customer-first values.
- Support customer onboarding, move‑ins/outs, and property handover processes alongside Asset Management and Customer Engagement teams.
Skills and Experience
- Experience in facilities management or a related property/maintenance environment
- Strong written and verbal communication skills.
- Knowledge of health & safety principles and statutory compliance requirements.
- IOSH Managing Safely, equivalent (or willingness to work toward).
- Strong customer service awareness.
- Good IT literacy and ability to work with FM systems.
- Practically minded, proactive and able to solve problems.
- Full UK driving license.
- Ability to manage multiple tasks across a dispersed portfolio.
- Willingness to act as an emergency contact when required.
- Knowledge of FM supply chains, contractor management or compliance processes.
- Understanding of commercial leases and property operations.
- Engineering or building services background.
- Ambition to progress into full Facilities Manager roles.
