Facilities Coordinator

The role

We are seeking to hire an additional full‑time Facilities Coordinator to support the continued growth of the Facilities Management (FM) function at Indurent. Working closely with the wider FM team and reporting to the Senior Facilities Coordinator, this role will provide essential administrative and organisational support that enables the team to operate efficiently and deliver on the company’s strategy. As Indurent continues to scale its UK‑wide industrial portfolio and enhance its technology‑enabled operating model, this role is critical in ensuring our FM operations remain robust, responsive and aligned with our commitment to delivering an outstanding customer experience.

Responsibilities

Administration
  • Diary management for FM team members
  • Day to day management of the FM Maintenance Inbox
  • Maintain electronic and hard copy filing systems, archiving when relevant
  • Maintain company risk management system and liaise with suppliers to ensure compliance.
  • Liaise with customers on access/maintenance requests 
  • Act as a super use for CAFM (Computer Aided Facilities Management) system (training will be provided)            
Health & Safety
  • Prepare, send and ensure all FM teams are fully aware of Health and Safety bulletins.
  • Assist with undertaking property inspections locally and recording actions.
  • Keep up to date with changes in legislation, amending policies under the direction of the Head of FM.
  • Ensure H&S system is accurate, and all certification is up to date across the portfolio.
Reporting
  • To provide regular reports to the line manager on all aspects of property performance, existing risks and viable, robust solutions.
  • To ensure the collection of accurate and relevant data relating to performance of contractors and provision of analysis as and when required.
  • Assist in the provision of regular business case proposals for any CAPEX works or service chargeable projects.
  • Undertake regular helpdesk reports and ensure the data held is accurate.
  • Run service charge / budget variance reports and assist with the FM team on accurate reporting.
 
Financial
  • Maintain accurate billing data and ensure all fees are recovered where relevant.
  • Raise ad-hoc and project fee invoices.
  • Act as first point of contact for any invoicing issues relating to fees and chase clients for swift payment as required.
 
Other
  • To act as deputy fire warden within the office
  • Act as H&S representative for the office and working closely with other teams to promote safety ethos
  • This job description does not form part of the Contract of Employment and may be reasonably amended from time to time.

Essential requirements
  • Experience working in a fast-paced environment
  • Conversant with Customer Service Initiatives
  • Articulate and excellent written and verbal communicator
  • Practically minded
  • Problem solver 
  • Good IT skills 
  • Ability to work in a small and busy office as part of a team or on own initiative
  • Proactive administration 
 
Desirable requirements
  • IOSH
  • Previous FM experience 
  • Knowledge of FM supply chains 
  • Keen for progression as the role offers opportunities for the right candidate.
