Estate Coordinator

The role
We are looking to hire a full-time Facilities Coordinator to work on site with the Estate Manager. The role involves assisting in mmanaging  the day to day operational activities in line with all health and safety, environmental and company procedures, legislative requirements, budgetary costs and occupiers requirements in line with the required customer service criteria and key performance indicators.
Responsibilities
Administration
  • Maintain electronic and hard copy filing systems, archiving when relevant.
  • Receive and dispatch post and email communications.
  • Maintain company risk system and liaise with suppliers to ensure compliance.
  • Send communications to suppliers and tenants in respect to requirements under contract / lease.
  • Update tenants notes in CAFM (Computer Aided Facilities Management) system.
Health & Safety 
  • Deal with contractors and tenants to collate relevant documents prior to issuing permissions to work on site.
  • Assist with undertaking property inspections locally and recording actions.
  • Keep up to date with Indurent policies and SOPs, ensuring Heywood DP remains compliant.
  • Ensure H&S system is accurate, and all certification is up to date for Heywood DP.
Reporting 
  • As required to provide reports on all aspects of property performance, existing risks and viable, robust solutions.
  • To ensure the collection of accurate and relevant data relating to performance of contractors and provision of analysis as and when required.
  • Assist in the provision of business case proposals for any CAPEX works or service chargeable projects.
  • Run service charge / budget variance reports and assist the Estate Manager with accurate reporting.
 Financial 
  • Raise Purchase Orders for works as required.
  • Ensure Invoices are accurate and processed in a timely manner.
  • Assist in directing any supplier or tenant enquiries regarding invoices to the relevant person.
 Other 
  • To act as deputy fire warden for the Estate’s Office.
  • Providing a high standard of customer service to all the Park’s users including tenants,. contractors and delivery drivers.
  • Assist with the promotion and marketing of the site with occupiers including assisting at on site events and activities.
  • This job description does not form part of the Contract of Employment and may be reasonably amended from time to time. 
Skills and Experience
Essential requirements 
  • Experience working in a fast-paced environment
  • Conversant with Customer Service Initiatives
  • Articulate and excellent written and verbal communicator
  • Practically minded
  • Good IT skills 
  • Ability to work in a small and busy office as part of a team or on own initiative
  • Proactive administration 
 
Desirable requirements 
  • IOSH
  • Previous FM experience
